concerning panel membership for the DHBT Academy

 

 

AGREED TERMS


1.     DERBYSHIRE HISTORIC BUILDINGS TRUST (English private company limited by guarantee with registered number 03045662, and English charity with registered number 503983) whose registered office is at 1 Greenhill, Wirksworth, Derbyshire, DE4 4EN (the “Trust”) is a charitable organisation dedicated to supporting the care, conservation, and sustainable use of historic buildings in Derbyshire.


2.     The Trust operates the Derbyshire Historic Buildings Trust Academy (also known as the DHBT Academy), which facilitates the provision of initial guidance and signposting support to owners and custodians of historic buildings, through a network of experienced volunteer practitioners.


3.     To join the DHBT Academy as a volunteer panel member, an applicant must complete, sign and date this Form.


4.     This Form is subject to (and incorporates) the DHBT Academy Rules.


5.     If there is an inconsistency or conflict between this Form and the DHBT Academy Rules, this Form will take priority and apply.


6.     This Form may be signed as a single document or in counterparts, in wet/ink form or using e-signatures.


7.     Each emailed or faxed signature page will be just as valid as the originals if circulated with or incorporated in the final agreed version of this Form.

Membership


The Panel Member's membership of the DHBT Academy during the Contract Period.


Trust’s Business


The facilitation, coordination and promotion of heritage conservation and services – including, but not limited to:


<   Providing guidance to owners and custodians of historic buildings;

<   Supporting the care, repair, maintenance, adaptation and re-use of heritage buildings;

<   Delivering or commissioning surveys, reports, and training in heritage skills and conservation;

<   Organising public engagement, events, and educational initiatives relating to built heritage; and

<   Building partnerships and a network of professionals to preserve Derbyshire’s historic built environment.


Heritage Support Issues


Any matters determined by the Trust as relating to the provision of guidance and assistance to historic building owners and custodians in Derbyshire, including but not limited to:

<   Assessing heritage conservation needs;

<   Identifying and signposting to appropriate skills or trades;

<   Gathering information about historic assets;

<   Coordinating triage and visits;

<   Preparing reports or written guidance;

<   Maintaining records of volunteer hours and follow-up actions;

<   Liaising with clients, contractors, and stakeholders;

<   Participating in development and improvement of the DHBT Academy;

<   Supporting education, training, and community awareness activities;

<   Any combination of the above.


Volunteer Days


The number of pro bono (unpaid) half-days or full days of activity which the Panel Member agrees to contribute to the DHBT Academy in each calendar year (currently expected to be two half-days per annum).


Support Activities


The voluntary (unpaid) support activities provided by the Panel Member to or for the Trust under the DHBT Academy programme in respect of the Heritage Support Issues, including but not limited to:


<   Interactions with Enquirers, Clients, other Panel Members and the Trust’s trustees, staff or representatives;

<   Participation in triage meetings, site visits, and follow-up actions;

<   Providing written guidance, reports, or feedback to enquiries, clients and/or the Trust;

<   Sharing best practice, contributing to DHBT Academy development or training;

<   Any other task, activity or input agreed between the Trust and the Panel Member from time to time; or

<   any combination of the above.


Works


All materials, documents, records, plans, reports, notes, and digital content created by the Panel Member in the course of preparing for and/or performing/delivering the Support Activities.


Deliverables


Any Works or other materials, outputs or outcomes provided by the Panel Member to the Trust, an Enquirer or a Client in the course of, or as a result of, the Support Activities.

The following are the Personal Data processing purposes and details concerning the Contract:

<   Identity Data: Information like names, username, birthdate, and gender.

 

<   Contact Data: Details such as addresses, email addresses, and phone numbers.

 

Data Subject Types


Living natural persons who are (or work at or for organisations that are) the Trust’s:


<   Enquirers

<   Clients

<   Staff of the Trust

<   Professional, tradespeople and contractors like architects, surveyors, electricians, plumbers, roofers or builders of any kind.


Purpose & Nature of Processing


<   Performing the Support Activities and providing Deliverables or other Works under the Contract.

<   Complying with the Contract.

<   Enforcing rights under the Contract.

<   Complying with the Trust’s documented instructions (including keeping a written record of such instructions).

<   Complying with the law.


Lawful Basis of Processing


<   Legitimate interest.

<   Compliance with the law.

<   Consent (where obtained and present from the applicable data subject).

 

Duration of Processing


The Contract Period plus any longer period for which the Panel Member has obligations under the Contract.

 

Persons with authority to give processing instructions to the Panel Member


<   Any director, trustee or other officer of the Trust.

<   Any person authorised by anyone in the above category.


Approved sub-processors/sub-contractors of the Panel Member (as at the Contract Start Date)

·       I wish to volunteer as a Panel Member for the Trust under this Form.

·       I have relevant experience and expertise in the field of historic building conservation, inspection/surveying, repair, maintenance, adaptation or heritage craft skills.

·       I have had the full opportunity to seek and rely upon independent legal and other professional advice concerning the content of this Form.

·       I have read, understood, accept and agree to follow and abide by the terms and conditions of this Form and the DHBT Academy Rules, together forming the Contract.

·       I consent to the Trust processing my personal data in accordance with its privacy policy published at   https://www.derbyshirehistoricbuildingstrust.org.uk/privacy

·       I understand that this is a voluntary role and does not constitute an employment contract.

·       I confirm that the information provided is accurate to the best of my knowledge.
